Court Booking User Guide
GRASS COURT BOOKINGS
- Grass courts can be booked on the day on site by using the touch screens
- They cannot be played on before 10:30
- Members cannot book another court at the same time as back up
- If the nets are up the courts are useable
- If the nets are down but dummy posts are in play may be possible later in the day
- If there are no nets/posts the courts will be out for that day
- Please remember not to wear pimpled grass court shoes as this wears the surface out more quickly.
- Please remember you will need your MyCourts login details to book courts.
ARTIFICIAL CLAY, ACRYLIC AND SPORTSHALL COURTS 8-16
Courts 8-16 are bookable from 8am-10:30pm (10pm Sundays) all year round on the MYCOURTS booking system. Members book courts by logging into MYCOURTS remotely online or via touch screens at the club. Alternatively members may phone reception who can book a court for them.
Logging in Online: Go to http://thewimbledonclub.mycourts.co.uk and log in using your username and password. These will have been issued to you when the booking system was created or when you joined the club.
Logging in via Touch Screens: Log in with your PIN number which will have been issued to you when the booking system was created or when you joined the club. Alternatively you can log in to the indoor touchscreens by swiping your membership card through the card swipe attached.
Adding Credit to Your MYCOURTS Account: Every member has a personal booking account which holds credit for the purpose of making a booking. Your balance is shown on the left of the screen after you log in. Bookings may only be made if enough credit exists in your account to cover the booking fee. You can add credit by paying online using a debit or credit card (recommended) or buying vouchers from the bar.
Paying Online: After logging in choose the "Buy Credit Online" option from the menu on the left of the screen and follow the instructions. You can choose the amount of credit you wish to add in a single transaction. All transactions are PAYPAL protected.
Buying Vouchers: Vouchers may be purchased from the bar in £10 denominations. Each voucher displays a number and unique code. After logging in choose the "Top-up with voucher" option from the menu on the left of the screen and enter the voucher number and code. Your account is automatically credited if you provide the correct combination.
Making a MYCOURTS Booking: Select the day you wish to make a booking from the 'Booking Sheets' menu on the left of the screen. Members may book courts from 10pm up to 8 days in advance, coaches may book courts from 10pm up to 28 days in advance. Courts are bookable in 30 minute slots for a maximum of 2hrs (off-peak times) or 1.5hrs (peak times). Select the court and time(s) you wish to book; confirm the booking and enter the names of all the players in your group.
Members must check in to MYCOURTS via touch screens at the club to confirm their attendance for their court booking. This can be done less than 2 hours before and up to 15 minutes after the start time. Select the 'Check In' option on the touch screen and check in with your PIN number which will have been issued to you when the booking system was created or when you joined the club. Alternatively you can check in to the indoor touchscreens by swiping your membership card through the card swipe attached. If a member books a court but does not check in less than 2 hours before or 15 minutes after the start time, £5 will be deducted from their online booking account.
BOOKING CANCELLATIONS AND REFUNDS
Members must cancel a court as soon as possible so that the court may be booked by other members. To cancel a court on the Tennis Court Booking Board, use the eraser provided to remove the time and names of all the players in your group. Spare erasers may be provided by the bar if required. To cancel a court in MYCOURTS, log in and select "My Bookings" on the left of the screen. Your booking fee is automatically refunded as credit in your account when cancelling at least 48 hours prior to your booking. If you cancel a court less than 48 hours prior to the booking, the booking fee is only refunded if the court is subsequently booked by another member.
All court bookings are monitored and members who regularly book courts but fail to use them despite fair weather, or regularly cancel booked courts within 48 hours may have their court booking rights removed at the discretion of the tennis committee.
If you make an error and book the wrong court on the Tennis Court Booking Board, use the eraser provided to remove the time and names of all the players in your group. Spare erasers may be provided by the bar if required. If you make an error and book the wrong court in MYCOURTS, book the correct court and cancel the incorrect booking. If the error occurs within the cancellation charge period (i.e. less than 48 hours prior to the booking), send an explanatory email to the rackets administrator, Emma Mathews: racketsadmin@TWCsport.co.uk and Emma will credit your account with the amount that you paid in error.
TURNING ON FLOODLIGHTS
Lights for the floodlit courts are controlled at the bar. Please ask the bar staff to turn the floodlights on for your session.
PERSONALISING YOUR MYCOURTS LOGIN
After logging into the MYCOURTS booking system you may select the "My bookings", "My Settings" and "My Profile" tabs on the left of the screen to personalise your login. My Bookings contains all your bookings, including those made by other members who have selected you as an "opponent". Useful features include: click on the envelope to send an email message to an opponent for a booking; click on an opponent's name to view their contact details; click "cancel" to cancel a booking. My Settings allows you to change your password, PIN and subscribe/unsubscribe from email alerts including confirmation of your court bookings/cancellations and cancelled court alerts (select the days of the week and times of interest to you). My Profile allows you to see and edit how you appear to other members in the members' directory. Upload photos and edit your contact details and member profile.
FORGOTTEN MYCOURTS USERNAME/PASSWORD/PIN If you are logging into MYCOURTS online and have forgotten your username and/or password you can retrieve them by clicking on the 'Forgotten Password' link and entering your email address. Providing this matches the email address stored in MYCOURTS you will receive an automatic reminder. If you are logging or checking into MYCOURTS via a touch screen and have forgotten your PIN number you can retrieve it in on the touch screen the same way. Court Booking Rules
COURT BOOKING RIGHTS
All members apart from juniors who have no booking rights* must book courts on the Tennis Court Booking Board or MYCOURTS for the duration of their tennis session and enter the names of their fellow players at the time of booking. Coaches must book courts on MYCOURTS and enter the names of their clients at the time of booking.
*Juniors awarded Gold Badge status by the Tennis Committee have full court booking rights.
TENNIS COURT BOOKING BOARD
Members must book the next available court leaving no gaps. You may only book 1 court for 1 hour at a time and must complete your game before making a further booking. You must write the time you are booking the court and names of all the players in your group in the appropriate time slot and vacate your court after 1 hour if it has been booked by a waiting group. MYCOURTS BOOKING SYSTEM Members must book a minimum of 1 hour and maximum of 2 hours (off-peak times) or 1.5 hours (peak times) unless a 30 minute slot completely fills the gap between two pre-existing bookings. Members are asked to avoid leaving 30 minute booking gaps where possible. Members must check in to MYCOURTS via touch screens at the club less than 2 hours before or up to 15 minutes after their start time to confirm their attendance for their court booking. If you do not check in at a touch screen within this period it will be assumed you did not use your booked court. If you are not playing within 15 minutes of your booking start time, you forfeit your booking rights and another member is entitled to use the court for the duration of your booking.
COURT BOOKING FEES
Court booking fees only apply to indoor courts and are shown below.
6-10:30pm wk/d (10pm Sun)
Junior Members may book any court except for court 8 (Sports Hall) for free including dome courts ON THE DAY OF PLAY excluding Saturdays from 9:00 am to 12:00.
COACH COURT BOOKING FEES
The coach court booking fee is half the standard member booking fee. The coach may not pass more than half of their booking fee onto their client. If a member cancels their lesson within the cancellation charge period i.e. less than 48 hours prior to the booking, the coach must recover their entire court booking fee from the member.
Coaches may book the following courts for private lessons at the following times:
a) Courts 8, 9, 10 and 11 at off-peak times*
b) Court 12 at all times
Tennis Programme sessions always take priority over private lessons. No more than 2 courts may be used for private lessons at any one time and if a tennis programme session is running only 1 court may be used for private lessons, which must be an outdoor court if the programme session uses 2 or more indoor courts**
Coaches may book indoor courts for private lessons outside the above restrictions after 9am on the day of the lesson *
Court 11 may also be used for private lessons at the following peak times: 6-7pm Mon/Tue/Thu/Fri; 6-9pm Wed; 10am-6pm Sat-Sun **3 or more courts may be used for private lessons, or 2 or more courts in addition to a tennis programme session, providing 1 court is available for members when the lesson begins.
Members may book courts for coaching at any time using their member accounts which allow booking up to 7 days in advance. If this is the case then coaches may coach the member on the court and the rules above cease to apply.
Court bookings for junior and adult tennis programmes must be approved by the tennis committee and booked by the rackets administrator. Court bookings for all tennis programme sessions will be visible on the booking system and emailed to members weekly.
Court bookings for Club Championships and all representative club matches, including junior and adult teams and singles matches where opponents travel from an external club, take priority over all other court bookings.
In exceptional circumstances, where matches run over their allocated booking slot, inconvenienced members will be fully refunded and their next booking provided free of charge.
From time to time the club may book tennis courts for multi-sport functions and events. The tennis committee works closely with the general committee to ensure these events are in the best interests of the club and the benefit to the tennis section outweighs any inconvenience to tennis members. Court 8 is a multi-purpose sports hall and this facility is shared equally between the club's tennis, cricket and hockey sections. Sports hall club bookings are managed by a sports hall committee.
The club occasionally receives external requests for court bookings. Each request is considered by the tennis and general committees on a case-by-case basis. External bookings are only approved if they provide clear benefit to the club and tennis section at minimal inconvenience to tennis members.
