Message from the Tennis Chairman

Dear [[firstname]],

Many thanks to all members for their support over the last year. The tennis committee values the assistance provided by members to help with the ongoing operation of the club.

I am writing to you in order to clarify the protocols related to the management of social mix-ins, and the naming of guest and member playing partners on MYCOURTS. Clarifications are based on the results of the May survey of members.

But first I want to talk about the budget for the tennis section. Our budget for the coming year has been approved by GENCOM. It balances the need for the club to reduce its operating losses (in the absence of funds from the AELTC received for the use of our land during the Championships) and a desire to mitigate the increase in subscription fees to tennis club members. This has resulted in a below inflation increase in the tennis section fees and acceptance of the budget by the club treasurer. I would like to thank Dorothy Lim and Erwan Nicolas for long hours spent constructing the budget, and thus achieving this result.

One part of the tennis section budget is the income received from guest fees which is a valuable addition to revenue, helping to keep the tennis section fees down. There is a continuing issue with members not registering guests in advance of play. The tennis committee does not want to be forced to police this issue, but I am sure that you would not expect us to ignore the problem and allow subscriptions to rise because of a shortfall in guest fees. It has been noted that some members regularly take guests on to the court without paying for them first; all members are duty bound to respect this rule, so please can we politely ask for support regarding this matter.

Social Mix-In Sessions

We welcome ALL members to these sessions; they are a lot of fun.

I wish to clarify the way in which these sessions will operate in future.

  • Peak socials will be 2.5 hours long
  • A coach will be provided for the first 2 hours of every session.
  • Signing up is extremely important as there is competition for courts and we need to be able to demonstrate court usage statistics.
  • Knowing how well attended peak hours and off-peak hours sessions are, will help the club to allocate resources accordingly, taking into consideration the requirements of the wider membership.
  • Signing up will also tell participants how busy (or not) the session will be, and as we do not intend to limit numbers this should prove a valuable guide as to whether they will be facing a wait between games.

Please note late cancellation is possible up to the start of the session, and in event of unforeseen circumstances resulting in a member being unable to log in to cancel, individual cases will be treated on their own merits.

We are trialling this format for peak social mix-ins to the end of the year and then reviewing it to ensure that it works well in the context of the operation as a whole. Management of off-peak socials will remain as is; the vast majority of off-peak participants have expressed their satisfaction with the way they are currently run.

Ball Charges

Approximately 50% of members surveyed agreed to a small charge for the use of new balls at each social mix-in. At this time the tennis committee has decided NOT to charge for the use of new balls. However, going forward the coaches will monitor the condition of balls and make available new balls when they deem necessary.

Naming of Guests and Playing Partners

The system within which we operate is facilitated by MYCOURTS. If the process of naming guests and playing partners is not respected then we cannot operate efficiently, on your behalf. Please could you focus on the requirements below:

  • All members must nominate their playing partners before play commences. Please note that court usage data is required for the assessment of court maintenance and in keeping with safety and security regulations.
  • Members must nominate and pay for a guest before they go on court. We have no option but to warn those who do not do this for the first time and then suspend booking rights for the second time. Any third and subsequent failure to name a guest will be associated with suspension of booking rights and a monetary penalty of £25 levied through MYCOURTS. If there is a genuine reason for not registering, we will, of course, take that into account.
  • Members must nominate a playing partner before they go on court. We have had several instances where guests have been inserted, other members having alerted us. We will informally discuss with members, who do not comply, to explain the importance of nominating a playing partner. Any repeating instances will require a formal warning and subsequent instances a suspension of booking rights.

Cancellation of Court bookings

There is an ongoing problem relating to proper court cancellation, which prevents other members being able to use those courts. There was clear support in the survey for the committee supervising this issue. Penalty for non-cancellation of a court during good weather days will be:

  • 1st time – an informal warning
  • 2nd time – warning letter
  • 3rd time and any subsequent time - £10.00 per booking

Grass Courts

45% of members in the survey agreed to a charge of between three and five pounds per hour for the use of the grass courts – at this time the tennis committee has decided NOT to levy a charge for the use of a grass court.

Grass Court Events

Lastly, please note that a considerable number of members stated that they would appreciate the management of the tennis section organising days out to summer grass courts events in the UK and tennis camps abroad. The Tennis Director and his team are looking into this and will report back in due course.

  • Login and check you email address is correct.
  • Contact Us if you changed your email address.
  • Check you spam/junk folders (and mark the message as "not spam/junk" if you find it there).
